Ensuring your business processes are working correctly, data is accurate and visible across the board are some of the many factors that contribute to success.

You’re probably thinking, you already have an ERP – you’re good. Allow me to help you reconsider. 

Legacy System vs. Modern System

Legacy systems are company-owned, on-premise computers and servers. These systems usually don’t have on-going support or updates. In fact, most systems of this caliber often have several islands of information to attain the data you need. 

Modern systems are the opposite.

Plus, the data migration process from Sage to Odoo ERP is quite simple. It requires an export of company data from your current system onto a CSV file, tweaks and adjustments as needed, and an import into Odoo.

All of Odoo’s applications (i.e. Sales, Purchase, Inventory, CRM, etc.) have required fields and optional fields. All you need to do is export your company data into a CSV file (Sales_Orders.CSV, Purchase_Orders.CSV, Warehouse.CSV, Customers.CSV, etc.), ensuring you have included all the required fields data.

Upon exporting, any necessary adjustments can be done by changing or adding columns with appropriate headings. You can even include any missed data. This is an important step as when you upload the file onto Odoo, the platform can automatically identify what data should be placed in what column. 

It is important to note that each export should contain a different data set. This means that your sales order data should be kept separate from your invoices data, and so forth. Do not bulk them into the same document, otherwise you’ll be faced with issues.

Timeline for the Sage To Odoo Migration

This truly depends on how much you have to migrate over and whether or not you are looking for particular customizations in the process. However, if there are no customizations, optimistically the migration can happen within 1 month. If there are, the migration can last 3-6 months, or up to a year.

If you are doing this on your own and don’t have a big data set to work with then you can get this done fairly quickly. It all depends on your speed to export data, make the necessary adjustments on the CSV files and import it into Odoo.

If you have an Odoo partner helping you, the timeline may remain the same or may change – depending on how quickly you are able to export the CSV files. In this instance, your Odoo partner will request the exported CSV file from you. So you are still in charge of getting the required information. The biggest upside to this is that your Odoo partner will ensure proper importation and be able to tell you the exact fields you will need to provide. Whereas, on your own, you may miss a few fields and be forced to go back and forth if you are not attentive.

Ultimately, once you have exported all your data, put all the CSV files in your desired folder (i.e. Google Drive) and you can send them off to your Odoo partner to upload onto Odoo, or do the import yourself. 

And that is it. It’s as simple as that.

This module helps to Calculate Lead Time for the Vendor. It will calculate the Vendor Lead Automatically as per the past Historical transaction Data. 

As per below image user can configure PO Lead Horizon months and Sale Lead Horizon months as per the requirement.

User need to go to the Inventory App then click on the Lead Calculation Horizon menu. After that click on the Create button.

When the user click on the “Create” button then user can see this type of form view of Lead Calculation Horizon.

In this form view users need to configure Calculation Horizon in Month as per the requirement.

After that users need to select product or product categories in the “Calculate By” field. Users can see two different options. (1) Product and (2) Product Category while clicking on this field.

If user select “Product” in Calculate By field then user can have a option to select multiple products

If the user Select  “Product Category” in the Calculate By field then the user can  have a option select multiple product categories.

After all these configuration user need to select Vendor. In the Vendor field user can select multiple vendors as per the requirement.

After selecting the vendor, the user needs to click on the “Calculate Lead Time” button.

When a user clicks on this button then Item Lines will be displayed as per the configuration.

–  In the Product column user can see all the products which are selected in the products field. 

– In the Vendor column user can see all the vendors which are selected in the Vendor field.

Current Lead Time column showing current lead days of the products. It will be calculated from the Product Master.

Suggested Lead Time column will be calculated as per the Past historical transaction data.

Apply? In this column all the checkboxes will be true as by default. User can make it false as per the requirement.

After calculating lead time user need to click on the Apply Lead Time button.

When a user clicks on the “Apply Lead Time” button then Suggested Lead Time will be applied to all the products and it will be updated in Product Master. Lead Calculation Horizon’s state will be changed as “Done”.

Keeping The Transaction History of Lead Calculation:

When user make changes manually in the “Suggested Lead Time” column and “Apply?” Checkboxes then log will be updated in the chatter.

Report Of Products to Vendor:

If the user needs to show a supplier lead time report then the user needs to go to the “Report” Menu then click on the “Supplier Lead Time Report” submenu.

If suggested Lead Time is ZERO then it will not update and keep the current one only.

Discarding in the Good Receipt Some record with Reason:

If a user wants to discard any receipt from the Supplier Lead Time Report then the user can use this feature. To Enable this feature user need to open any Done receipt from the Purchase Order or from the Inventory App > Operation > Transfers then go to the Additional Info Tab after that Enable “Disregard In Lead Calculation” checkbox then User can give the reason in the “Disregard Reason” field for avoid this Transfer in Lead calculation.

This Feature is use for not include those vendor  in Supplier Lead Time Report .Configuration is to disregard any Vendor from the Supplier Lead Time Report to open any Vendor from for that  go to  Purchase > Orders > Vendors  you see the field  “Disregard In Lead Calculation” checkbox as shown below user can Enable that feature.

So how does Odoo ERP play into this?

The following is a quick summary of what a seamless Odoo integration with Okta looks like.

1) Users log into SSO (single sign-on)

Here, developers can create a User Account on Okta and assign users to the Okta Odoo Apps. In order to do so, they need to configure it on the SAML Provider and on the SAML ID for the Odoo users. Once that is done, the user can use Okta Odoo apps in order to log into the Odoo application.

SSO reduces the number of attack surfaces because users only log in once each day and only use one set of strong credentials. Reducing login to one set of credentials improves enterprise security. When employees have to use separate passwords for each app, they usually don’t – so if one platform is compromised, they all are.

2) Users try to access a web page

When the user tries to access the Odoo webpage, the Okta login button will appear. When the user clicks on the Okta login button, it will redirect them to the Okta page — where the user will need to identify themselves with the two-factor authentication. Once the authentication is completed, the user will be automatically redirected to the Odoo application page.

3) Service providers check the user’s credentials with the identity provider

4) Identity provider sends authorization and authentication messages back to the service provider

5) The user can now log into the app

The final step involves authenticating oneself on both the Okta and Odoo applications, upon which the user can log into Odoo.

Odoo ERP allows for several integrations. As such, Okta can easily be integrated into Odoo. A professional ERP provider will be able to integrate multiple platforms together as well as create customizations specific to your company.

Below, we will take you through what configurations were done in order to achieve the Odoo integration with Okta.

The image above is an example of a company dashboard that has Okta integrated into it. Now our goal is to combine Okta with Odoo.

How do we go about doing that?

When you click on Odoo from the options presented, you will be redirected to the following page – which is the Odoo page. Now, in order to access Okta within Odoo, you need to log in using your Okta login credentials.

When you input your credentials (or click Okta Login if your credentials are already saved), you will be redirected to the company homepage that is connected to your Okta account. However, if the authentication is successful with Odoo and Okta, you will be redirected to the Odoo homepage with Okta connected.

So what steps need to be taken in order to achieve this seamless integration?

First off, you need to install Okta into the company dashboard and configure Okta and Odoo in the Okta dashboard.

On the Odoo side of things, we need to create a provider. In this instance, we have Okta as the sole provider. So, if we want to integrate Okta and Odoo – we need to keep the following key points in mind (see image below for reference). 

*This information can be found in Odoo under the Providers section.

  • Identity Provider Metadata

This will be provided by Okta and it’s in the XML format. This data has specific entity IDs as well as certificates generated by Okta. This information will be configured on the Odoo side of things.

  • Entity ID

This ID is important to verify between Okta and Odoo applications.

  • Metadata URL

Once we have successfully configured Odoo from the Okta side – then we will have this generated metadata URL. 

So remember in the first image, where we click on the Odoo application (for this example, let’s pretend we click on it from our phones) – when that Odoo app is clicked, the Identity Provider Metadata, Metadata URL, Odoo Public Certificate, Odoo Private Key, Signature Algorithm will all be checked from Okta to Odoo side as well as Odoo to Okta side in an encrypted format. Once everything is verified, that’s what leads to you being able to connect to Odoo via Okta. If something does not match up, then the user will not be able to log in.

  • Sign Attribute Mapping

This is relevant for when we create the Odoo application within Okta. In order to

successfully allow authentication – we need some configurations. This is done via Attribute Mapping. We need to set the IDP Response Attribute (name_id), Odoo Field (email). This basically means that we need to include the user’s name and email address somewhere.

So in Odoo, go to Settings >> Users & Companies >> Users

This will bring you to a list of user names (that you must manually put in). When you click on a user, you’ll be directed to the user’s page. All you really need to input is the user’s name and email address. Once that is configured, then you need to input the SAML provider.

As you can see, on the Odoo side (i.e. the Odoo platform as depicted in the image above), you see Okta under SAML provider. And in the SAML user id section, you see an email address.

So when you send in a login request, the Okta provider section will be checked, as will the SAML user ID. If they are a match, the next thing to be checked is the algorithm method and specific encryptions, the certifications as well as the entity ID.

If everything matches, then the user will be redirected to the Odoo page, where the user can log in using their email address.

So far, we have covered three integrations that were done to connect Odoo and Okta.

  1. Involves one configuration from the Okta side
  2. Involved a configuration from the Odoo side
  3. The third configuration is from the SAML user side as explained above

So let’s discuss the fourth and final one – customization. Upon the integration, once a user logs out of Odoo, they will be automatically redirected to the company Okta dashboard. Essentially, anytime the user wants to log into Odoo via the Okta dashboard, they need to be logged in with the Okta credentials – click on the Odoo app and authenticate in order to access the Odoo app. If they log out of the Odoo app, they will be redirected back to the Okta dashboard – and will have to repeat the process in order to log back in. This was a customization, where the Odoo username and password login were disabled to further secure the back and forth.

As you can see in the image above, if you click on the checkbox – you will allow users to login using their Odoo credentials (as you will see in the image below).

But by default, that box isn’t checked – therefore users must use their Okta credentials to log into Odoo. 

Another way to tighten the security is by using a 2-factor authentication. In this instance, the application Odoo Verify can be used on Android phones to achieve this.

So with how great the Community edition sounds, you might be wondering why the Enterprise edition is even an option?

Well – since Odoo Community is marketed as the basic version, it also only provides a fraction of what Odoo Enterprise provides. Essentially, Odoo Enterprise offers what Odoo Community provides in addition to a set of extra modules.

One of the most notable differences between Odoo Community and Enterprise is their functionality. As we established earlier, Odoo Community came first. Enterprise, on the other hand, is built on top of the open source Community layer and has many additional modules & features.

Support, Bug Fixes, and Upgrades

Another major difference is support. Many businesses place importance on being able to get support when they need it, as it is a crucial component in case of emergencies. While Odoo offers support for the Enterprise edition, it does not do so for Community.

Odoo also offers upgrade assistance as long as it is into an Enterprise version (i.e. from Community to Enterprise or Enterprise to Enterprise).

Hosting Options

Community and Enterprise also differ in their hosting. With Odoo Community, you handle hosting yourself, regardless of whether you are using your own on premise servers or hosted servers. Given this is your own open-source instance, you can customize it to your heart’s content.

With Enterprise, you have both these options, but you have an additional cloud hosting option using Odoo.sh.

Pricing

Since Odoo Enterprise is a licensed version of Odoo, it adds yearly expenses in licensing fees. This means that Community is often less expensive for companies. 

The “better option” simply depends on what you are looking for, or need.

Odoo Enterprise has many modules and out-of-the-box features that Odoo Community lacks. So if you choose Odoo Community, and want to ‘add-on’ to it by incorporating these features, the price will drastically increase with each addition. 

Even though licenses raise the cost of Odoo Enterprise, customization and development can raise the cost of Odoo Community. Simply put, which option ends up being more affordable depends on the particular features and extent of customization/development you’re looking for.
